Why the calendar slips
Chinese New Year. Factories close for two to three weeks around the festival, and the weeks either side run at reduced capacity as workers travel. If your artwork approval lands in that gap, you lose a month.
Peak production pressure. August to October is the most congested period of the factory year, because Halloween and Christmas overlap. Orders confirmed in that window queue behind everything already booked.
Ocean freight congestion. The same August to October surge tightens vessel space and stretches transit times, and port congestion can add days on top. Sea freight quoted at 30 days can become 45 in peak season.
What to lock early, and what to leave flexible
Lock the things that have a queue and a cost. Leave flexible the things that only affect you.
Production capacity and a written delivery date. Confirm the slot, not just the price. A quote without a date is not a plan.
Price validity. Seasonal demand often carries a premium, so ask how long the quoted price holds and whether a deposit locks it.
Key materials. Paper, film and specific colour cards can be the real bottleneck. Ask whether your material needs to be reserved.
Inspection date. Book the pre-shipment inspection when you place the order, not when the goods are ready. Peak-season inspection slots fill up.
Running a two-speed order plan
Most experienced buyers split the season order rather than committing everything to a single shipment. The main volume goes by sea to protect margin. A smaller top-up quantity is held back deliberately and moved by air or a fast service if a line sells out, which costs more per unit but rescues the season. Plan for roughly 15 to 20 percent of the volume as a flexible top-up, and confirm with your supplier whether that material will still be available after the main run.

When should I place a Christmas order to be safe?
Order in July or August for October delivery into your warehouse. If you need goods on shelf by early November, July is the safer month, because September to October production slots are the first to fill.
How much does Chinese New Year actually delay an order?
Plan on three to four weeks of lost time if your approval lands in the closure window, including the slow weeks before and after. Approve artwork before the festival to avoid it entirely.
Is air freight worth it for party supplies?
For the main order, rarely, because party goods are bulky and low-value per kilogram. For a late-season top-up on a proven design, it can still be cheaper than an empty shelf.
Can I reorder mid-season?
Only if the material is still reserved. Peak-season production runs are booked well ahead, and a repeat order placed in September may not be manufactured until the season has passed. Reserve material with the first order.
